Additional data such as names, designations or addresses, as well as all other data imported into easymap, are not transmitted.

Notice regarding the transfer of data to third countries that do not meet data protection standards, as well as the transfer of data to U.S. companies that are not DPF-certified

Newsletter details

Brevo is a service that can be used, amongst other things, to organise and analyse the distribution of newsletters. The data you provide in order to subscribe to the newsletter is stored on the servers of Sendinblue GmbH in Germany.
Data analysis by Brevo
With the help of Brevo, we are able to analyse our newsletter campaigns. For example, we can see whether a newsletter message has been opened and, if so, which links have been clicked. This enables us, amongst other things, to identify which links have been clicked on particularly often.
We can also see whether certain predefined actions were carried out after the newsletter was opened or clicked on (conversion rate). For example, we can see whether you made a purchase after clicking on the newsletter.
Brevo also allows us to group newsletter recipients into different categories (‘cluster’ them). For example, newsletter recipients can be grouped by age, gender or place of residence. This makes it easier to tailor the newsletters to the respective target groups.

Legal basis

YouTube with enhanced privacy protection
This website embeds videos from YouTube. The website is operated by Google Ireland Limited (“Google”), Gordon House, Barrow Street, Dublin 4, Ireland. When you visit one of the pages on this website that includes YouTube, a connection is established with YouTube’s servers. In doing so, the YouTube server is informed which of our pages you have visited. If you are logged into your YouTube account, you allow YouTube to associate your browsing activity directly with your personal profile. You can prevent this by logging out of your YouTube account.
We use YouTube in enhanced privacy mode. According to YouTube, videos played in enhanced privacy mode are not used to personalize the user’s YouTube experience. We use Userlike (hereinafter “Userlike”) to process user enquiries via our support channels or via live chat systems. The provider is Userlike UG (limited liability), Probsteigasse 44–46, 50670 Cologne.
Messages that you send to us are stored in the Userlike ticketing system or answered by our staff via live chat. When you communicate with us via Userlike, we and Userlike store, amongst other things, your name and email address (if you have provided them) and your chat histories. This is a contract required by data protection law that ensures that the service provider processes the personal data of our website visitors only in accordance with our instructions and in compliance with the GDPR.
7. Audio and Video Conferences
Data processing
We use online conferencing tools, amongst other means, to communicate with our customers. The specific tools we use are listed below. If you communicate with us via video or audio conference over the internet, your personal data will be collected and processed by us and by the provider of the relevant conferencing tool.
The conferencing tools collect all data that you provide or use in order to utilise the tools (email address and/or your telephone number). Furthermore, the conferencing tools process the duration of the conference, the start and end times of your participation in the conference, the number of participants and other ‘contextual information’ relating to the communication process (metadata).
Furthermore, the tool provider processes all technical data required to facilitate online communication. This includes, in particular, IP addresses, MAC addresses, device IDs, device type, operating system type and version, client version, camera type, microphone or loudspeaker, and the type of connection.
Where content is exchanged, uploaded or otherwise made available within the tool, this is also stored on the tool provider’s servers. Such content includes, in particular, cloud recordings, chat/instant messages, voicemails, uploaded photos and videos, files, whiteboards and other information shared whilst using the service.
Please note that we do not have full control over the data processing operations carried out by the tools used. Our options are largely determined by the corporate policy of the respective provider. For further information on data processing by the conferencing tools, please refer to the privacy policies of the respective tools, which we have listed below this text.
Purpose and legal basis
The conference tools are used to communicate with prospective or existing contractual partners or to offer specific services to our customers (Article 6(1)(b) of the GDPR). Furthermore, the use of these tools serves to generally simplify and speed up communication with us or our company (legitimate interest within the meaning of Article 6(1)(f) of the GDPR). Where consent has been sought, the use of the relevant tools is based on that consent; consent may be withdrawn at any time with future effect.
Storage period
Data collected directly by us via the video and conferencing tools will be deleted from our systems as soon as you request its deletion, withdraw your consent to its storage, or the purpose for storing the data no longer applies. Data processing
We have entered into a data processing agreement (DPA) for the use of the service mentioned above. This is a contract required under data protection law, which ensures that the service provider processes the personal data of our website visitors only in accordance with our instructions and in compliance with the GDPR.
8. AI chat
The AI chatbot is designed to answer questions about using the easymap and easymap explorer software. The AI chatbot does not use data from the relevant map folders to answer these questions.
The Licensee is solely responsible for all data, content, personal data and other information which it enters, transmits, processes or stores whilst using the software, and warrants that it holds all necessary rights, licences, consents and other authorisations in this regard. The licensee is also solely responsible for any use of the results generated on the basis of such inputs and for independently verifying their accuracy, completeness, lawfulness and suitability for the intended purpose.
Prompts are not used by the AI chatbot for independent learning. The transmission of the information entered in the prompt to us is subject to your consent to the transmission of usage statistics and only takes place when you rate the AI chatbot’s response (thumbs up or thumbs down).
The AI chatbot uses an OpenAI LLM model hosted in Europe. Communication with the LLM takes place via a liteLLM proxy, which is operated by Ipsos on the Google Cloud Platform in the USA. Further information on data protection and data security for hosted instances of liteLLM can be found here.
