Data security

The protection and security of your data is one of our main concerns. That's why we rely on technologies and standards that have proven themselves worldwide for years:

  • Encrypted data transmission via HTTPS (TLS 1.2 required)
  • Encrypted data storage (encryption at rest)

The services offered in connection with easymap and easymap explorer are hosted in Microsoft Enterprise Services “Azure” data centers in the EU.

Important for our customers: Data centers in other EU countries are treated the same as data centers in Germany under data protection law. Microsoft’s Enterprise Cloud agreements have been reviewed and approved by data protection authorities. You can find comprehensive information about Microsoft Azure security here

License verification

To verify the product license, a serial number (customer-specific, not user-specific) is transmitted to our servers.

Update search

If you agree to the update search, the program version number and language you use will be sent to our servers to determine if there is a more recent program version. This will allow us to notify you when an update or service pack is available.

Bug reports

For faster and easier troubleshooting in easymap you can activate sending of error reports. This helps us to improve the quality of the software.

When an error occurs, data is sent to our servers in the EU, such as program name and version, error message text, exception description and stack, anonymous session identifier, and other hardware or operating system properties. The error description can contain file paths or other data.

The anonymized user data cannot be traced back to a specific user.

Usage statistics

The easymap usage statistics help us to identify the functions that are important for the users. With your consent you support the targeted further development of our programs.

For certain actions within easymap, data such as the type of action, number of uses, date/time, program name and version or a unique session identifier are transmitted to our servers in the EU.

The unique session ID exists only for the duration of the session and cannot be linked to a specific user.

Usage statistics are stored for 90 days.

Address geocoding and address search

To add location coordinates to your addresses or to perform an address search, the necessary address components—street, house number, ZIP code, city, and country—are transmitted to our servers in the EU. The data is not stored. No other data from the input file, in particular no IDs, numbers, or keys, is passed on to the service.

The results are cached locally. This is done both in the map folder and on a per-user basis.

Tour planning

To calculate the route planning, the coordinates of the location and customer levels, as well as the settings for employees and customers—to the extent they are individually relevant (weekly working hours, visits per week, visit duration, visit frequency, last visit, or business hours)—are transmitted to our servers in the EU. Any additional data, such as names, designations, or addresses, as well as all other data imported into easymap, is not transmitted. The data is not stored.

easymap explorer

Maps and data uploaded to easymap explorer are transmitted to our servers in the EU and stored permanently. Users can delete the data at any time via the easymap explorer user interface. The data will then remain stored for another 7 days.

Server log files

Server logs are stored for up to 7 days for maintenance purposes and include:

  • Visited URL
  • The type and version of browser used
  • Operating system used
  • Referrer URL
  • The hostname of the accessing computer
  • The time of the server inquiry
  • The IP address

This data will not be merged with other data sources. This data is collected on the basis of Art. 6 para. 1 lit. f DSGVO. The operator has a justified interest in the technically faultless functioning of the service - for this purpose, the server log files must be recorded.
